Welcome to Within. You’re a process performer — one of the people whose day-to-day work Within captures and learns from. This guide walks you through your first time in: how to get access, where you land, what to do depending on why you’re here, and what to expect if you’re part of an onboarding sprint.

Getting in

  • You’ll be invited. Your workspace admin adds you (often as part of onboarding). You’ll get an email invitation.
  • Where you log in: app.within.ai, using your company’s sign-in method — a Magic Link sent to your email, or your company SSO (e.g. Okta).
  • Where you land: the Process Index — your home base, a map of your organization’s processes. From here you start capture sessions and find the processes you own.

What are you here to do?

Most performers come in to capture a process one of three ways. Here’s the quick version of each — for the full step-by-step on all three, see Capturing current state — quick reference guide.
  • Run a Companion session — Companion rides alongside you while you work and captures how a process actually happens. No forms; you just work, and it observes. Best when you want broad capture with minimal effort.
  • Do an AI Interviewer session — a guided conversation that walks you through one specific process while you explain it out loud. Best for capturing a known process end-to-end.
  • Upload an existing file — a recording or document you already have. Best when the material already exists.
Longer, real sessions work best — Within needs to see actual work to capture it well.

After a Companion session: signals & contributing to the index

Two separate things happen after a session. It’s worth knowing they’re not the same flow.

Review your session report & signals

You’ll get a session report summarizing what Companion saw. It may surface signals — noteworthy observations like a workaround you used or a point of friction. You review these and choose which, if any, to submit to your workspace. You’re in control: only the signals you choose to share are shared.

Contribute to the Process Index

Separately, your session’s activity timeline is what feeds the Process Index (Within’s process agent handles this). Review the timeline, then edit, categorize, or exclude activities, and confirm. Activities that couldn’t be matched to a known process are left unchecked by default — you decide whether to include them.
Submitting a signal and contributing to the Process Index are different actions. Submitting a signal does not update the index — the index is updated from your reviewed activity timeline. If you want your session to improve the process map, confirm the activity timeline.

Your privacy & control

The short version:
  • Contributions are anonymized, and nothing is stored as video, images, or audio.
  • Insights are never used for performance management. The only thing ever attributed to you is a signal you choose to share.
  • You can pause or end a session at any time.

If you’re a process owner: editing the Process Index

If you own a process, you can keep it accurate:
  1. Find your process in the Process Index (search by name, or browse the tree).
  2. Open it and edit its attributes, steps, or metadata directly.
  3. Your edits update the canonical definition of that process.

What to expect: two cadences

During an onboarding Project Sprint

If your team is in an onboarding sprint, here’s the rhythm to expect:
  • You’ll be invited to a process performer kickoff / training session.
  • Your role profile gets set up — complete the onboarding wizard on your first login (~20 seconds) to set it up. You can revisit and refine it anytime from your role profile settings.
  • You’ll be shown the platform — a walkthrough of Companion, the interview, and the Process Index.
  • Run Companion 3–5 times a week through the sprint — this is the core of your contribution.
  • Bring any issues to weekly office hours. Between sessions, use the in-app chat and reference what you were just working on.
  • In weeks 3–4: take part in skill development, an optional signals best-practice share, and provide your input into the executive report-out.
Why your sessions matter: the processes you capture don’t just sit in a library. Your Champion uses them to run cross-functional analysis across hundreds of processes — finding the projects and improvements that make your work easier and more fulfilling. The more you capture, the better those opportunities get surfaced.

After the sprint: ongoing cadence

Once the sprint wraps, keep a lighter, steady rhythm:
  • Run Companion 1–2 times a week. This keeps your processes current and keeps contributing to the organization’s shared “company brain” — fresh, accurate process knowledge that everyone benefits from.
